Van Request

Administrative Guidelines
for Use of District Transport Vans

Please download van request form, fill out on computer, print, and deliver to your school's administrator.

To help maximize student involvement in interscholastic and extra-curricular programming, facilitate transportation of students to and from school, and transport educators to and from professional development and training seminars, Comstock Public Schools provides the use of transport vans (vans).

Check-out Process
The vans will be available for staff to check out from the Transportation Department. The procedure for making requests can be found online at www.comstockps.org/van. Only administrators are directly authorized to use the vans. All other drivers must have direct administrative approval by a supervisor before being allowed to use the vans. The vans are used on a “first come first served” basis in the following ordered priorities:

  • Transportation to and from academic or athletic events.
  • Transportation to take home or pick up students.
  • Transportation to and from professional development.

Additionally,

  • Only Comstock and contracted employees as well as district-approved volunteers may drive the vans. All drivers must have a valid driver’s license issued in the United States and be at least 18 years old.
  • All users must have approval from their immediate supervisor and present an approved travel request to the Athletic Director for the proposed trip. The travel authorization must include a list of all parties traveling in the van and drivers must take along all medical authorization forms.
  • When checking out the van, the user will receive a van key, gate key and a school fuel card.  Vans must be returned full of fuel.

Safe Operation
The safe operation of the transport van is of foremost importance.

  • All drivers must have a safe driving record as determined by a criminal background check prior to using the vans.
  • Drivers must observe the speed limit, obey all traffic regulations and statutes, and are responsible for any parking and/or moving violations or citations.
  • In the event of an accident, the driver must call 911, no matter how minor the damage may be. A police report must be submitted at the scene of the accident.
  • If the driver or any passengers are injured while traveling in a transport van, medical expenses will be covered by their own insurance policies.
  • Be sure to lock the van at all times.

Integrity of Use
Since the vans are clearly marked as the property of Comstock Public Schools, drivers are reminded that they are representing the district at all times.

  • The vans may only be used for district business; misuse may be grounds for discipline and/or dismissal.
  • No drugs or alcoholic beverages are to be in the vehicle at any time, and drivers may not consume any substance that may impair their ability to operate the vehicle safely.
  • Smoking or vaping of any kind is not permitted in the vans.

Return of the Van
When returning the vehicle:

  • Ensure that the interior is neat and clean. Persons and programs who leave the van unclean will be denied future use.
  • Lock the van and leave necessary items inside.
  • Due to the alarm system, stay away from the building and buses. Approaching those areas will set off the alarm.
  • Report any perceived mechanical problems to the Transportation Department immediately: (269) 250-8690 or (269) 250-8693.
  • Return the van to the designated parking area at the Transportation Department. The van cannot be kept at a user’s residence.

Loss of Van Privileges

  • If a person or group is found to be violating any of the policies and procedures for use of Comstock Public Schools vans, the district reserves the right to suspend use privileges until further notice.
